Migrating over 100,000 pages and files for HMRC

Project Background

As part of the build of their new intranet instance, HMRC (HM Revenue & Customs came to Invdev needing help to clean, format and migrate over 100,000 files – which were in a variety of different formats, datasets – into the new platform.

How we systemised HMRC’s content migration

Following an in-depth discovery phase to identify which content HMRC wanted to migrate and review the content HTML to highlight any issues or challenges that would occur as part of the migration. The Invdev team worked to correct any HTML issues – including cleaned and formatted to ensure data accessibility and readability – and where this wasn’t possible, an alternative solutions was found.

The project team worked with HMRC to prioritise their dataset for migration and with the help of the Invdev team built content importers in line with the format, to ensure that the content was migrated correctly and into the content types.

Throughout the content migration project the Invdev team faced a number of challenges including:

Ensuring that all content links did not break when being imported
Resolving a number of HTML translation issues
Creating content and structural consistency to reflect the use of HTML from various different platforms
Some very large files which needed extra during the import
HMRC requesting the ability to selectively transfer content, manage author references, and handle data updates.

Successful migration of over 100,000 pieces of content from the legacy intranet to new intranet.
Throughout the content migration, HMRC staff had an uninterrupted service when searching for content.
The use of taxonomies has simplified the way staff access content.
HMRC has a platform that offers tools and applications (Staff Directory, Ideas, Forums, Blogs and more) that help to drive collaboration.
End-to-end, the content migration project took just 7 months.
